Frequently asked questions

Everything about synchronisation, webshop, pricing, technology and payouts.

0. Getting started with RecordFlower

You need three things: an active Discogs account with inventory, a bank account for your Stripe connection, and an email address for your RecordFlower account. There is no minimum inventory requirement. You can start with a single item.
Getting started takes four steps and around 10 minutes on average: • Create a RecordFlower account at recordflower.com. • Connect your Discogs account. You authorize this securely, once, and your inventory is loaded in immediately. • Create a Stripe account and complete the one-time identity verification. More information is available at stripe.com. • Personalize your webshop from the dashboard: add your logo, set your colors, and add your business details. Your webshop is reachable immediately once your subscription is active. During the first synchronization your inventory fills up, and your records appear as they are loaded in.
Stripe is the payment processor RecordFlower uses for all transactions. Payments are processed on your behalf via Stripe Connect and paid out to your own Stripe account. You are the merchant of record: your business name appears on your buyer's statement and your country sets the rates. You create a Stripe account once and complete the identity verification. This is a standard requirement from Stripe for all sellers. More information and an explanation of the verification steps is available at stripe.com.
Yes. You can try RecordFlower for 14 days, with access to all features of your chosen plan. We ask for your payment details at the end of the trial, not at the start. If you do nothing, your subscription starts automatically at the plan you selected. Cancel before the trial ends and you pay nothing.
We email you before your trial ends. If you take no action, your subscription starts automatically at the plan you selected and is billed in advance. You can cancel at any time from your dashboard; see 'Can I change or cancel my subscription?' for the notice period. If you stop, you have 30 days after termination to download an export of your data. After that, personal data is deleted or anonymised, except for invoice and financial records, which we are required to retain for seven years under Dutch tax law.
Yes. You manage all your webshop's settings through your own dashboard, from colors and logo to shipping costs and user management. Everything is configurable and saved immediately. You don't need any technical knowledge.
Yes, and that's exactly the point. RecordFlower is an additional sales channel, not a replacement. Your Discogs inventory remains the central source. Selling through both channels is possible. RecordFlower checks your Discogs sales every minute and marks a sold item as sold out right away, so you avoid double sales.
Yes. Your existing Discogs reviews are visible in your RecordFlower webshop. This way, you immediately benefit from the reputation you've built up. A dedicated review system within RecordFlower is on the roadmap.
No. Every RecordFlower account is linked to one Discogs account and one webshop. If you have multiple Discogs accounts or stores, you need a separate RecordFlower subscription for each one.
Yes. RecordFlower is also available to serious private sellers. You go through Stripe's standard onboarding, during which Stripe verifies your identity. Once verification is complete, you can get started right away. Note: selling through RecordFlower is currently not possible for private individuals based in the Netherlands. Stripe requires a Chamber of Commerce (KVK) registration for Dutch accounts. This is a requirement from Stripe and may change in the future. For the most current information, check the Stripe documentation at stripe.com
The roadmap is available on the RecordFlower website. Here you'll find an overview of the developments RecordFlower plans to roll out, including a dedicated review system, a referral program, discount codes, and integrations with multiple marketplaces. The roadmap is updated regularly.

1. Discogs synchronisation

RecordFlower makes a secure connection with your Discogs account. You never share a password. You authorize RecordFlower securely, once, through Discogs itself. Your full inventory, including releases, prices, conditions, and descriptions, is loaded straight into your RecordFlower environment.
Yes. RecordFlower automatically keeps your stock up to date based on Discogs. You don't need to do anything for this. There are two moments: • Sales are processed almost immediately: RecordFlower checks your Discogs sales every minute and marks a sold item as sold out in your webshop right away. • New items, price changes, and condition changes are synchronized every night at 00:00. Don't want to wait? Start a manual synchronization from your dashboard at any time.
New items you add to Discogs are automatically synchronized to your webshop every night at 00:00. Don't want to wait? From your dashboard, you can start the synchronization manually with a single click at any time.
During the first synchronization, RecordFlower retrieves your full Discogs inventory and loads it in. Your webshop is reachable as soon as your subscription is active. Your records appear as they are loaded in. Connect your Stripe account so you can receive orders.
No. RecordFlower mirrors your Discogs inventory and updates it automatically based on the changes you make in Discogs. Discogs always remains the central source. This prevents conflicts and keeps your inventory consistent across all channels.
RecordFlower checks your Discogs sales every minute and marks the sold item as sold out in your webshop right away. This way, you avoid double sales and your stock stays current on both channels.
Should the connection with Discogs unexpectedly drop, RecordFlower has detailed blog articles available that guide you step by step through re-establishing the connection. Our support team is also available for you seven days a week.
iFrame Webshop and Standalone Webshop include 31 synchronizations per month; Pro/Growth is unlimited. Every nightly synchronization (00:00) counts as 1, and so does every manual synchronization. Used up your 31 synchronizations? Without the Extra Synchronizations add-on, synchronization is blocked until the next month; with the add-on, extra synchronizations keep running and are billed on a tiered basis: €0.05 per synchronization (1–100), €0.03 (101–500), €0.01 from 500 onward, per month, excl. VAT.
RecordFlower is built as a multi-marketplace platform. Integration with several other marketplaces alongside Discogs is on the roadmap. This means that in the future, you'll be able to offer your stock across multiple sales channels from one central environment.

Yes, with the Bulk Price Adjustment add-on (€1 per month, excl. VAT). You set a single percentage, and RecordFlower offers your entire catalog on the webshop that percentage cheaper than on Discogs. Your verified Discogs price remains the source and is never changed; the discount only applies in your own webshop.

4. Technology & Security

Your data lives in its own, fully isolated database. Every RecordFlower seller runs in a separate database environment; your data is never accessible to other sellers. Hosting is located in Europe and complies with GDPR. Sensitive data, such as your Discogs access keys, is stored encrypted.
We aim for 99.5% uptime per calendar month. This is a best-effort commitment; no penalty or compensation arrangements are included. RecordFlower takes care of the full hosting, management, and security of your webshop, included by default in every package. You don't need to arrange anything yourself for maintenance or updates; your store stays reachable and up to date.

Yes. In your dashboard, you'll find the data processing agreement you enter into with RecordFlower. It describes how we process personal data on your behalf, in line with GDPR. You can view the agreement in your dashboard.

5. Payments & Checkout

The checkout supports the payment methods Stripe makes available in the countries where RecordFlower operates. The available methods are automatically matched to the buyer's country. This includes: • Visa, Mastercard, and American Express • iDEAL, Bancontact, Wero, SOFORT, Giropay, EPS, TWINT, Przelewy24, BLIK, Cartes Bancaires • Apple Pay and Google Pay • Klarna • SEPA, Bacs, and ACH direct debit • MobilePay and Konbini Which methods are exactly active depends on the buyer's country and the Stripe Connect configuration.
All payments run through Stripe Connect. The process: • The buyer places and pays for an order. • Stripe holds the amount. • You confirm in your dashboard that the order has shipped. • The payment is released after your shipping confirmation and paid out according to your Stripe payout schedule. You decide yourself which currency you're paid out in. In the event of a complaint or return, the seller is the first point of contact; RecordFlower does not mediate in disputes.
RecordFlower does not charge any transaction fees itself. Stripe charges its standard processing fees per transaction; these are passed on one to one, with no markup. Current rates per payment method and country are available at stripe.com.
Yes. RecordFlower is also available to serious private sellers. You go through Stripe's standard onboarding, including identity verification. Once verification is complete, you can get started. Exception: private individuals based in the Netherlands currently cannot sell through RecordFlower. Stripe requires a Chamber of Commerce (KVK) registration for Dutch accounts. This is a requirement from Stripe and may change in the future. For the most current information, check the Stripe documentation at stripe.com
Yes. As a seller, you are responsible yourself for the VAT return and payment on your sales, including for international transactions. If you sell to consumers in multiple EU countries, the One Stop Shop (OSS) scheme may be relevant. RecordFlower processes payments but is not a tax advisor. Consult your accountant or tax advisor for your specific situation.
RecordFlower is active in 21 countries: the Netherlands, Belgium, Germany, France, Spain, Italy, Portugal, Austria, Switzerland, Poland, Czechia, Greece, Sweden, Denmark, Finland, Norway, the United Kingdom, the United States, Canada, Australia, and Japan. You decide yourself which countries you ship to and set the corresponding shipping costs through your dashboard.
If a buyer disputes a payment with their bank or card issuer (a chargeback), Stripe charges the disputed amount plus a dispute fee. Because the sale runs through your storefront, those costs are borne by you; RecordFlower may invoice you for them or set them off. You are always notified in advance and get five working days to supply evidence to contest the dispute. If the dispute is resolved in your favour, the full amount is returned to you. See section 19 of our Terms of Service.

6. Sales & Inventory Management

You receive an email immediately as soon as a buyer orders. The order appears in your dashboard at the same time, with all order details.
You process the order yourself: packing and shipping. As soon as you confirm the shipment in your dashboard, the payment is released and paid out according to your Stripe payout schedule. The buyer automatically receives the track & trace. The stock is updated back to Discogs at the same time, so you never sell the same record twice.
You decide yourself which countries you ship to and what the shipping costs per country are. You set this up once through your dashboard. You handle the physical shipping yourself.
For a complaint or return, the buyer contacts you as the selling party. You are the first point of contact and handle the complaint or return yourself. RecordFlower does not mediate in disputes between buyer and seller.
Yes. RecordFlower is set up as a central platform for your sales. Discogs is currently connected; more marketplaces are on the roadmap, so you'll eventually manage all your channels from one dashboard.
Yes, both are possible, and you decide yourself whether to offer them: • Pickup point or parcel locker: buyers have their order delivered to a pickup point instead of their home. This reduces failed deliveries and is cheaper in many countries. • Local pickup: buyers collect the order from you, with no shipping costs. You add pickup instructions in your dashboard that the buyer sees at checkout. You set up both options through your dashboard.
Yes. For each shipping rate, you set a threshold: if a buyer orders for more than that amount, shipping to that country is free. If the order stays under it, your regular rate applies. You set this per country through your dashboard.
Yes. In your dashboard, you set a minimum order amount. Buyers can only check out once their shopping cart reaches that amount. This way, you avoid small orders where the shipping costs are disproportionate.
